Scope of Work

The selected bidder will be responsible for providing training venue, catering, audio-visual arrangements and accommodation support for KSAPS training programmes.

Key Service Requirements

The scope includes:

1.  Training venue for one-day training programmes
   1.  Conference hall for approximately 50 participants
   2. Breakfast, two high-tea/snack sessions and lunch
   3. Vegetarian and non-vegetarian food arrangements as specified
   4. Audio-visual support including laptop, projector, screen, cordless microphones and podium microphone
   5. Dais/platform with chairs and table arrangement
   6. Registration desk
   7. Fresh-up rooms for outstation participants, where required
2. Residential training venue
   1. Conference hall for approximately 50 participants
   2. Food arrangements including breakfast, snacks/high tea and lunch
   3. Required audio-visual infrastructure
   4. Dais and registration desk
3. Accommodation for outstation participants
   1. Single occupancy accommodation with dinner
   2. Double occupancy accommodation with dinner

Pre-Qualification and Eligibility Criteria

Interested bidders should meet the following eligibility requirements:

1. Bidder should be a person, company or entity having its own facility for providing training venue, food and accommodation services.
2. The bidder should not be blacklisted or declared ineligible by any State/Central Government authority.
3. Bidder must submit valid statutory documents including GST, PAN, food licence and registration documents.
4. Bidder must quote for all applicable tender items as per Annexure III.
5. Bidder must submit the bid digitally through the Karnataka e-Procurement portal.
6. All uploaded documents should be clear, legible and relevant to the quoted services.
7. The bidder must submit an affidavit confirming compliance with tender conditions and non-blacklisting status.

Financial Criteria

The portal metadata confirms the tender fee as ₹500 and EMD as ₹5,22,000.

Tender Fee, EMD and Security Deposit

Tender Fee / Processing Fee: ₹500

1. Earnest Money Deposit (EMD): ₹5,22,000
2. EMD Payment Mode: Through e-payment on the Karnataka e-Procurement portal
3. Partial EMD payment: Not acceptable
4. Security Deposit: Successful bidder must submit 5% of contract value after acceptance/LoA, as specified in the tender conditions.
5. EMD Exemption: Conditional exemption is available for eligible MSME/NSIC-registered bidders, subject to submission of valid documents.

Important Dates and Deadlines

Submission Guidelines

Bidders must submit their bids only through the Karnataka e-Procurement portal. Physical submission, email submission or paper documents are not acceptable.

1. Technical bid documents must be uploaded in the prescribed technical bid section.
2. Financial bid must be submitted through the e-Procurement price schedule only.
3. The quoted rate should be inclusive of applicable taxes, freight, insurance and other charges as per tender conditions.
4. Bidders must digitally sign bid documents before submission.
5. EMD and processing fee must be credited before the bid submission deadline.
6. Documents uploaded in the wrong section may not be considered.
7. All documents must be clear and readable.
8. Bid validity will remain for 180 days.
