Scope of Work

1. Food Arrangement Services

The selected vendor will provide food arrangements for training programmes, meetings and educational visits. The scope includes tea, snacks, breakfast, lunch, dinner and related meal arrangements as per programme requirements. The tender schedule mentions that food-related rates should include required materials and service arrangements.

2. Hiring of Goods / Transport Vehicle

The tender includes hiring of a load-carrying vehicle with capacity of approximately 1 to 1.5 tons for official programme-related transportation requirements. Vehicle owners are required to provide valid vehicle registration documents and related records.

3. Bus Arrangement for Educational Tours – Package 03

This package covers bus services for educational tour programmes for areas such as Pratapgarh, Arnod, Dalot and Suhagpura. The schedule indicates the use of larger buses, including driver and helper, for educational exposure visits.

4. Bus Arrangement for Educational Tours – Package 04

This package covers bus services for educational tours for Dhamotar, Dhariyawad, Peepalkhoont, Chhoti Sadri and Badi Sadri. Bidders must quote rates as per the financial bid schedule.

5. Printing Work

The printing package includes printing of question papers, envelopes, annual assessment booklets, progress sheets, banners, forms, health worker registers, coordinator registers and other registers as per the schedule. Rates are to be quoted for single-side and double-side printing wherever applicable.

6. Sweets / Bundi Distribution on National Festivals

This package covers supply and distribution of sweets/Bundi under programme requirements for national festivals. Rates are to include material, labour, fuel, utensils, transport and other related delivery costs where applicable.

7. Awareness Campaign Material Distribution

This tender covers supply/distribution of sweets, Bundi, Namkeen and chocolates for social awareness camps and village contact campaigns under various schemes. The document indicates that distribution may be required for district-level and block-level programme activities.

Pre-Qualification Criteria

Bidders should meet the following broad pre-qualification conditions:

1. The bidder should be engaged in the relevant category of work for which the tender is being submitted.
2. The bidder must submit proof of registration, experience or capability for the concerned service category.
3. For vehicle and bus-related packages, valid registration certificate, vehicle fitness, permit, insurance and other vehicle-related documents should be submitted.
4. For bus services, the tender indicates requirement of buses suitable for educational tours, including driver and helper, and supporting vehicle ownership/registration documents.
5. For food supply and material distribution work, the bidder must have capacity to arrange quality materials and deliver as per office/programme instructions.
6. Conditional bids may be rejected by the department.

The bidder must be able to execute the work as per the written orders and programme schedule issued by the Office of Swachh Pariyojana, Pratapgarh.

Financial Criteria

The tender document does not mention any specific minimum turnover or net worth requirement. However, bidders must submit the required EMD, tender fee and processing fee through Demand Draft. Rates must be quoted in the prescribed Schedule “H” / Financial Bid format, and the quoted rates will remain valid up to 31 March 2027.

Submission Guidelines

Bidders must upload the tender online during the prescribed period from 22 May 2026 to 01 June 2026. The main notice states that online e-tenders are invited up to 01 June 2026, 03:00 PM. The original Demand Drafts and required documents must be submitted to the office by 02 June 2026, 01:00 PM.

Bidders should carefully upload the technical bid and financial bid separately as prescribed. Tender fee, EMD and processing fee must be submitted in the prescribed Demand Draft format. Any bid without the required fee/EMD documents may be treated as non-responsive.

Important Note: Some individual tender pages show an inconsistent tender-opening date. For public publication, it is advisable to mention that bidders should verify the final bid-opening schedule on the Rajasthan e-procurement/SPPP portal before submission.

Bidders should prepare and submit the following documents:

15. For printing work: printing facility details, sample/proof where required, and rate quotation for listed printing items
